Privacy Policy

Reforged (“we”, “us”, “our”) is operated by Daniel Santamaria in Victoria, Australia, and provides online coaching, guides and a tracking app for men. This policy explains what personal information we collect, how we collect, hold, use and disclose it, and the choices you have. We handle personal information in line with the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth).
What we collect
- Waiting lists. Your name and email address, and which guides or products you want to hear about.
- Coaching applications. Your name, email, phone number and Instagram handle (both optional), age, weight, location, goals, training history, whether you have had recent bloodwork or use hormone therapy, any health conditions, injuries or medications you choose to tell us about, and your typed signature on our client waiver.
- Coaching clients. Information you share during coaching, which may include health information such as bloodwork results, body measurements, progress photos, medical history and notes from coaching calls.
- Payments. Payments are processed by Stripe. We receive your name, email and payment status, but we never see or store your full card details.
- The Reforged app. When it launches, the information you log, such as bloodwork, lifts, workouts and bodyweight, plus account and subscription details.
- Website data. Basic technical information our hosting provider collects automatically, such as IP address, browser type and pages visited. We do not use advertising or tracking cookies.
How we collect it
We collect information directly from you: when you fill in a form on this website, email or message us, take part in coaching calls, or use the app. We do not buy personal information from third parties.
Health information
Health information is sensitive information under Australian privacy law. We only collect it with your consent and only when it is reasonably necessary to assess your application, coach you or provide the app. You can choose not to share it, though we may then be unable to coach you safely or effectively.
How we use your information
- To review coaching applications and decide whether coaching is suitable for you.
- To deliver coaching, including training programs, nutrition guidelines, bloodwork assessment and check-ins.
- To process payments and manage your subscription.
- To tell you when a guide or the app launches, if you joined a waiting list.
- To provide, run and improve the app and this website.
- To reply to your questions, meet our legal obligations and keep our services secure.
We never sell or rent your personal information. We do not use it for advertising by third parties.
Using a pseudonym
You can browse this website and ask general questions without identifying yourself. Coaching, payments and the app require your real name and contact details, because we cannot provide those services anonymously.
Who we share it with
We only share personal information with service providers who help us run Reforged, and only what they need to provide their service:
- Netlify: website hosting and our website forms, including coaching applications.
- Google: email (Gmail) and file storage.
- Stripe: payment processing and subscriptions.
- Telegram: messaging and calls with coaching clients and enquiries.
We may also disclose information if the law requires it, or if it is necessary to lessen a serious threat to someone’s life, health or safety. We never share your health information with your employer, insurer or anyone else without your consent unless the law requires it.
Overseas disclosure
Our service providers store and process information on servers outside Australia, mainly in the United States, and may also use servers in Europe and other countries. By using our services, you understand your information may be held overseas. We choose reputable providers with strong security practices.
Emails
If you join a waiting list, you consent to us emailing you about the launch you signed up for and related Reforged updates. Every email identifies Reforged as the sender, and you can unsubscribe at any time by replying “unsubscribe” or emailing us. Coaching clients will also receive emails about their coaching and billing.
Storage and security
We store information in password-protected accounts with two-factor authentication where available, and limit access to Daniel Santamaria. We take reasonable steps to protect it from misuse, interference, loss and unauthorised access, change or disclosure. We keep coaching records for up to 7 years after coaching ends, so we can respond to questions or legal claims, and other information only as long as we need it. After that, we securely delete or de-identify it.
Data breaches
If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.
Accessing or correcting your information
You can ask to see the personal information we hold about you, or ask us to correct or delete it, by emailing daniel@reforgedlabs.org. We will respond within 30 days. There is no charge to make a request. If we refuse a request, we will explain why in writing.
Automated decisions
We do not use computer programs to make decisions about you that significantly affect your rights or interests. Every coaching application is reviewed personally.
Under 18s
Our services are only for people aged 18 and over. We do not knowingly collect personal information from anyone under 18.
Complaints
If you have a privacy concern or want to make a complaint, email daniel@reforgedlabs.org with details of your concern. We will acknowledge your complaint within 7 days, look into it, and respond in writing within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
